A journal entry is a way for you to enter debits and credits to an account total.  Your goal in completing the journal entry is obviously to keep "balanced."  This means that all your debit entries are equal to all the credit entries.  All entries completed under the Journal Entry option will be associated with the General Ledger Journal Entries (GJ).

 

  1. Select General Ledger Menu>>Processing>>Journal Entries.

  2. When your JOURNAL ENTRIES screen appears

  3.  press ENTER to add your transaction.

  4. You will see an EDIT DETAIL LINE screen. Complete this screen.  (Click on a field name for an overview. An asterisk (*) denotes required fields.)

  1. Press ENTER to save this information.

  2. Repeat 2-4 until all details are entered.  

  3. Verify all the information is correct. Your total debits and TOTAL CREDITS should balance at the bottom of the screen with a zero amount in the DIFFERENCE fields.  If you receive a message that you are out of balance, please contact a BSS support technician.

      • Press F8 to print the transactions you entered.

      • Press F10 to post to the General Ledger.  

  4. If it is not correct you can:

  1. Once you have posted to the General Ledger, you may enter another journal entry or press F9 to exit the program. An edit list will print listing all the entries made to the General Ledger.

The F8 print key listed at the bottom will print an edit list based on the entries you have made so far.  This can be used when you are interrupted and lost your place or if you want to double check your entries as you go.
